Record each payment against the right job

Photographers often collect money in stages: a booking advance, a later instalment and a final balance. If payment notes are kept separately from the quotation, it takes extra work to confirm how much is still due.

Keep the agreed total and every received payment connected to the same job. Record the date and payment method, and keep a note or receipt from your payment provider where appropriate.

Make the balance easy to verify

The outstanding balance is the accepted quotation total minus the payments that have actually been received. Review the recorded instalments before following up. If a payment is entered incorrectly, correct the record transparently and retain an audit trail instead of silently changing past figures.

A clear payment summary helps you answer client questions and plan cash flow. It also helps avoid asking someone to pay an amount they have already sent.

Set expectations in the quotation

State when each payment is due and what it secures. Keep the terms understandable, consistent with your contract and compliant with the requirements that apply to your business. Send a polite reminder with the relevant booking and balance details when a due date approaches.

Pictora keeps payment entries with the accepted quotation and shows the received amount and pending balance. Use it as a record of your bookkeeping, and reconcile it with your bank or payment provider statements.
